Who has your information

The agency, the agency's address, holds your information. You can contact them at the agency's email address or the agency's phone number. They are responsible for it under the Protection of Personal Information Act.

Where it came from

The source the agency gave us. If you didn't expect this, let us know and we will look into it.

What we hold

The details in your CV, such as your name, contact details, work history, education, qualifications, skills, where you live (suburb or city), salary expectations and notice period, plus our notes and messages with you. We don't need, and our system removes, details such as your race, religion, health or marital status. We only hold your ID number or other documents if we ask you for them for a specific job.

Why we use it

  • To match you to jobs that may suit you, now and in the future.
  • To contact you about those jobs and arrange interviews.
  • To share your CV with employers hiring for a specific job you may suit. You can ask us to check with you before we do.
  • To keep the records an agency needs.

Giving us your information is voluntary. If you don't, we can't match you to jobs.

The software we use

We use Mennula, recruiting software run by [Company name] (Pty) Ltd for agencies like ours. It stores your information on servers in South Africa and only uses it to do what we ask.

To read and match CVs, Mennula uses an AI service in the United States. Before your CV is read, your name, contact details, ID number, street address and identifying places are removed. The AI service doesn't use it to train its models and deletes it after a short period. If we send you WhatsApp messages, they go through WhatsApp, which is run outside South Africa.

A person at the agency makes every decision about you. The software suggests who may fit a job and why, but it never rejects anyone on its own.

How long we keep it

Until you ask us to delete it, or 24 months after the last time anything happened on your profile, whichever comes first. Then it is deleted, including from backups within 35 days.

Your rights

You can, at any time and for free:

  • see what we hold about you, and get a copy;
  • correct or update it;
  • ask us to delete it;
  • object to how we use it;
  • choose whether we send you job alerts, and stop them at any time;
  • ask that a person, not the software, reviews any decision about you.

Use the link above, reply to any of our emails, email the agency's email address or WhatsApp the agency's WhatsApp number. We'll reply within 30 days and confirm when a correction or deletion is done.

Complaints

Please tell us first so we can put it right. You can also complain to the Information Regulator: Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191; enquiries@inforegulator.org.za; 010 023 5200; inforegulator.org.za.
